It is my intention to provide my clients with a professional and therapeutic massage.
The following policies and procedures serve as a guide for first-time and regular massage clients.
Happie Soul Massage understands that unanticipated events occur in everyone's life. Unforeseen events such as car problems, traffic considerations, business meetings, and project deadlines, are just a few reasons why one might consider canceling a massage appointment.
In my commitment to provide a unique and outstanding massage experience to all of my clients and out of consideration for other client's time, as well as my own, I have adopted the following policies. It is your responsibility as the client to review all policies. First time clients must use credit card to hold appointment (even if you are using a discount voucher. NOTE: PLEASE REVIEW POLICY ON GROUPON VOUCHER. NO CALL/NO SHOW WILL BE CHARGED THE COST OF SERVICE (NOT TO EXCEED COST OF VOUCHER)
Please arrive for your appointment no later than 15 minutes prior to the scheduled start time. This allows you the time to fill out/review any applicable client forms, change and/or prepare for any services. All services offered have a specific time schedule and early arrival allows for a relaxed and unhurried experience. If late arrival is inevitable, your service(s) may be shortened in order to keep on schedule, however, you will still be held responsible to pay the full service fee. Your treatment begins at the time of your scheduled appointment.
For health reasons--please arrive freshly showered or as clean as possible (just out of the office and you have a massage, okay. Just leaving the gym and you have a massage, please shower).
To maintain a relaxing atmosphere, please refrain from bringing children with you to your appointment; with the exception of post-natal massages.
Cell phones and other electronic devices are to be turned off upon entering the building. If your phone rings, or vibrates during a session, you may be asked to turn the phone off which will take time out of your session. If you are expecting a call, or must leave the phone on due to a possible emergency, please let me know.
Your treatment STARTS at the time of your appointment. Example: if your appointment time is 10:00 am and you arrive at 10:00 am and we need to discuss your intake form, or you need the rest room; that time will be deducted from your massage as to keep with the schedule and respect the appointment times of other clients.
If you show up late or call in late to an appointment, that time shall be deducted from the session. For example, if you had a scheduled 60 minute Relaxation massage and show up 15 minutes late, the session is now 45 minutes. You will still be required to pay the full session fee. If you arrive more than 15 minutes late, your appointment will be considered a no show and you will be billed the full service fee.
Late arrivals due to circumstances beyond your control (ex: inclement weather, family emergencies, canceled childcare, etc.) will be handled on a case-by-case basis.
If you are sick (contagious or not) please reschedule as soon as symptoms occur otherwise fees may apply (please follow the cancellation/rescheduling policies listed below). If you arrive and are sick, you will be required to pay the missed appointment fee and be asked to leave. Other clients may have compromised immune system, therefore it is always best to reschedule if you are not feeling well. If you are ill and wait until the day of your appointment to cancel, you will be charged a missed appointment fee. Cancellations due to circumstances beyond your control (ex: serious last minute illness/injury, sudden illness, child sickness, etc.) will be handled on a case-by-case basis.
CANCELLATIONS and RESCHEDULING
Happie Soul Massage understands that unanticipated events happen occasionally in everyone’s life. When you book an appointment that time is reserved for you. Missed appointments are costly in lost time and revenue, and it prevents me from providing services to other clients. In my desire to be effective and fair to all clients, the following policies are honored:
24 hour advance notice is required when cancelling or rescheduling an appointment. This allows the opportunity for someone else to schedule an appointment. If you give a full 24 hour notice, you will not be billed for the session.
If less than 24 hours is given, you will be charged the full service fee. If you fail to show and/or do not call, you will be charged the full service fee. Cancellations due to circumstances beyond your control (ex: inclement weather, family emergencies, canceled childcare, etc.) will be handled on a case-by-case basis.
If you are booking your service within 24 hours of the actual appointment time, there is no cancellation and you will be charged the full amount of the appointment.
If you do not present your Groupon/Livingsocial voucher at time of appointment, you will be charged full service fee. If you cancel; it is viewed as a no show and you will be charged full service fee.
If you do not attend two of your scheduled appointments (no call/no show), you will be required to pre-pay for any future services. Refunds are void if policy is violated.
Gift certificates will be forfeited for no shows/cancellations with less than 24 hour notice or rescheduling with less than 24 hour notice.

Sale/discounted price of session may not at times be honored after a no call/no show, or a last minute cancellation/reschedule.
If you are a no call/no show to a pre-paid appointment, the appointment will be marked as a no show and you will not be able to reschedule this appointment. This also applies to treatments in a series. You are not charged any additional fee as the treatment was already paid. (see massage series: No-shows to scheduled pre-paid appointments will be forfeited from the package.)
Should a client need to cancel or reschedule any appointments, please use Massagebook (review your appointment reminder email for a direct link) or call 717-254-7250. No other methods of communication will be accepted for canceling/rescheduling appointments.
PLEASE NOTE: I REQUIRE A CREDIT CARD BEFORE SCHEDULING ANY TREATMENTS. FIRST TIME CLIENTS MUST PREPAY FOR ANY TREATMENT.
GIFT CERTIFICATES and DISCOUNT VOUCHERS and PRIZES
If redeeming a Gift Certificate purchased for you by someone else, and you do not have the certificate with you, I will need to speak to the purchaser for permission to redeem the certificate.
Gift certificates will be forfeited for cancellations with less than 24 hours notice.
Gift certificates cannot be redeemed for cash value.
Gift certificates may not cover the full cost of treatment. Client is responsible for paying the difference in cost of treatment.
Gift certificates expire 12 months from date generated.
CLIENT MUST PRESENT GROUPON/LIVINGSOCIAL VOUCHER AT TIME OF APPOINTMENT EITHER PAPER COPY OR ON THEIR PHONE. SERVICE WILL BE PROVIDED FOR FULL SERVICE FEE IF NO VOUCHER IS PRESENT. IF CLIENT CHOOSES NOT TO HAVE SERVICE, IT IS VIEWED AS A NO SHOW AND CLIENT WILL BE CHARGED FULL SERVICE FEE. CLIENT IS RESPONSIBLE FOR PAYING THE DIFFERENCE IN SERVICE FEES IF VOUCHER HAS EXPIRED. PLEASE REVIEW POLICY ON GROUPON VOUCHER. NO CALL/NO SHOW WILL BE CHARGED THE COST OF SERVICE.
Client MUST show Groupon/LivingSocial voucher at time of appointment. If voucher is not shown, client will be required to pay full service fee. No refunds will be issued for vouchers after service has been received.
Client MUST CALL to book treatments if using Groupon/LivingSocial. Vouchers cannot be used in place of prebooked/prepaid treatments.
If Groupon/LivingSocial voucher is expired, client may use the voucher as a coupon towards the service listed on the voucher. Client is responsible for paying the difference in cost of treatment. Voucher is only valid for service/treatment listed on voucher. No exceptions will be made.
Winners of any prize/drawing has 24 hours to redeem prize. Void after 24 hour period. No other winners will be announced.
Military Discount applies to service member and their immediate household family; also applies to Gold Star Families. 15% OFF (a treatment of their choice of 60 minutes or longer). Military discount cannot be combined with other offers or discounts. ie void if using Gift Card/Certificate, Groupon/Livingsocial voucher, Gift from another client's prepaid series. Cannot be applied towards payment of package or series.
Referral Program: current client will receive $15 Treatment Credit for each new client referred. Only valid on full rate services. New client must tell me at time of check out who referred them. Not valid after the first treatment.
Loyalty Rewards: Receive 10 massages (or energy work) and receive 1 at half price. Loyalty card valid for full priced services only. Cannot be combined with other offers, specials or discounts. Half off 11th session. NO cash value. Cannot be used as payment for massage series.
Treatment Credit: Clients can earn Treatment Credit in different ways. This credit has no cash value. Credit can be used to purchase Gift Certificates online, and pay for future services. Earn $15 massage credit for each new client you refer. Earn $5 for each review on social media (Facebook, Yelp, Google). Credit does not expire. Credit can accumulate. No credit is given for Gift Certificates gifted to new clients.
Clients who miss appointments (no call/no show) more than once will be required to prepay for services and/or leave a credit card on file. All payments are expected to be made by the end of the scheduled appointment. Payment is accepted in the form of cash, check, or credit, including Health Savings and Flex Spending Accounts.
A $40 fee will be assessed for all returned checks. Happie Soul Massage has the right to not accept any further checks from repeat offenders.
Massages/Treatments/Services in a series are transferable. Clients may transfer their Massages/Treatments/Services sessions as a GIFT to a family member, friend, or co-worker. Client must inform me of the change and provide the name and phone number in advance of GIFT. GIFT recipient may schedule their own appointment.
Clients are responsible for calling in to make these requests.
No-shows to scheduled appointments will be forfeited from the package.
RESPECT FOR THE CLIENT-MASSAGE THERAPIST RELATIONSHIP
You, the client, should be open and honest with your therapist at all times. Feedback about the session, such as: if the sessions are not working or do not meet your expectations, any situations that make you uncomfortable, massage techniques that you may or may not like, any body areas you would like avoided, etc.
To maintain respect for each client and establish professional boundaries the following policies will apply for all massage therapy services:
You may choose to leave on as much clothing as needed for comfort.
You will always be modestly draped. Only the area being massaged will be undraped.
Inappropriate or lewd interaction or discussion of any kind is NEVER appropriate. You will be required to pay in full for your session, asked to leave, and will not be rescheduled if this occurs.
RIGHT TO REFUSE
Happie Soul Massage reserves the right to refuse to perform a massage for any hygiene issues including failure to shower after exercising, after swimming in pool or excessive sweating. You will be responsible for full payment of your treatment time if you arrive not in the condition to receive massage.
Happie Soul Massage reserves the right to refuse any potential client for any reason.
Your privacy is important. Any information you give to Happie Soul Massage will be held with the utmost care, and will not be used in ways to which you have not consented.
It is your responsibility as the client to keep the massage therapist informed of any medical treatment currently being taken, and to provide written permission from the physician, chiropractor, physical therapist, etc., that your program may be continued. You must also keep the massage therapist informed of any changes in health conditions.
