POLICIES

It is my intention to provide my clients with a professional and therapeutic massage. 
The following policies and procedures serve as a guide for first-time and regular massage clients.



Happie Soul Massage understands that unanticipated events occur in everyone's life. Unforeseen events such as car problems, traffic considerations, business meetings, and project deadlines, are just a few reasons why one might consider canceling a massage appointment.

In my commitment to provide a unique and outstanding massage experience to all of my clients and out of consideration for other client's time, as well as my own, I have adopted the following policies. It is your responsibility as the client to review all policies.




ARRIVAL   

Please arrive for your appointment no later than 15 minutes prior to the scheduled start time. This allows you the time to fill out/review any applicable client forms, change and/or prepare for any services. All services offered have a specific time schedule and early arrival allows for a relaxed and unhurried experience. If late arrival is inevitable, your service(s) may be shortened in order to keep on schedule, however, you will still be held responsible to pay the full service fee. Your session begins at the time of your scheduled appointment.

 \For health reasons--please arrive freshly showered or as clean as possible (just out of the office and you have a massage, okay. Just leaving the gym and you have a massage, please shower).

\To maintain a relaxing atmosphere, please refrain from bringing children with you to your appointment. 

\Cell phones and other electronic devices are to be turned off upon entering the building. If your phone rings, or vibrates during a session, you may be asked to turn the phone off which will take time out of your session. If you are expecting a call, or must leave the phone on due to a possible emergency, please let the therapist know.



LATE ARRIVALS 

If you show up late or call in late to an appointment, that time shall be deducted from the session. For example, if you had a scheduled 60 minute Swedish massage and show up 15 minutes late, the session is now 45 minutes. You will still be required to pay the full session fee. If you arrive more than 15 minutes late, your appointment will be considered a no show and you will be billed the full service fee.


Late arrivals due to circumstances beyond your control (ex: inclement weather, family emergencies, canceled childcare, etc.) will be handled on a case-by-case basis.


SICKNESS 

If you are sick (contagious or not) please reschedule your appointment for another time. Some clients may have compromised immune system, therefore it is always best to reschedule if you are not feeling well.  At least 24 hours notice must be given prior to your scheduled appointment. If less than 24 hours is given, you will be charged 50% of the service fee. If you fail to show and/or do not call, you will be charged the full service fee. Cancellations due to circumstances beyond your control (ex: serious last minute illness/injury, child sickness, etc.) will be handled on a case-by-case basis.


  CANCELLATIONS and RESCHEDULING

Happie Soul Massage understands that unanticipated events happen occasionally in everyone’s life.  When you book an appointment that time is reserved for you.  Missed appointments are costly in lost time and revenue, and it prevents us from providing services to other clients.  In our desire to be effective and fair to all clients, the following policies are honored:

 

24 hour advance notice is required when cancelling or rescheduling an appointment. This allows the opportunity for someone else to schedule an appointment. If you give a full 24 hour notice, you will not be billed for the session.


If less than 24 hours is given, you will be charged the full service fee. If you fail to show and/or do not call, you will be charged the full service fee. Cancellations due to circumstances beyond your control (ex: inclement weather, family emergencies, canceled childcare, etc.) will be handled on a case-by-case basis.

If you are booking your service within 24 hours of the actual appointment time, there is no cancellation and you will be charged the full amount of the appointment.


\Gift certificates will be forfeited for no shows.

\GROUPON/LivingSocial vouchers will be forfeited for no shows.

\Sale/discounted price of session may not at times be honored after a no call/no show, or a last minute cancellation/reschedule.

PLEASE NOTE:
Due to an increase in the number of late cancellations and missed appointments, I have found the need to enforce a new policy regarding cancelled or missed appointments. As I do not see multiple people at one time, every appointment missed, in an hour that remains open that another client could have filled. Time, yours and mine, is valuable, and I consider the time I have scheduled with you important for your continued well being, as well as for my continuation as a practitioner. 

I am requesting a 24 hour notice of cancellations (this gives me time to try contact other clients interested in an earlier, or later session). Less than 24 hours is not acceptable. Missed appointments without notices are not acceptable. 

The full fee will be charged for a missed appointment without notice. Cancelled appointments without minimum notice, will be charged the full service fee. 

There are situations that will be handled case-by-case.

If a client is a no-call/no-show for a schedule appointment, they will need to provide a credit card to rebook. The credit card will not be charged unless the client again does not call/show for the rebooked appointment. 
Clients are given one pass per year. If a client has more than one no-call/no-show the client will be required to pre-pay for all services.

GIFT CERTIFICATES and GROUPONS/LIVINGSOCIAL

\Gift certificates may be forfeited for cancellations with less than 24 hours notice. Cancellations due to circumstances beyond your control (ex: inclement weather, family emergencies, canceled childcare, etc.) will be handled on a case-by-case basis.

\Gift certificates cannot be redeemed for cash value.

\Gift certificates will be forfeited for no shows.

\GROUPON/LivingSocial vouchers will be forfeited for no shows.


PAYMENT 

Clients who miss appointments (no call/no show) more than once will be required to prepay for services and/or leave a credit card on file.  All payments are expected to be made by the end of the scheduled appointment. Payment is accepted in the form of cash, check, or credit. A $40 fee will be assessed for all returned checks. Happie Soul Massage has the right to not accept any further checks from repeat offenders. 

Happie Soul Massage is now accepting credit card payments. No additional fee will be required for credit card processing fees. 



PACKAGES POLICY


\Massages are transferable. Clients may transfer their massage sessions as a GIFT to a family member, friend, or co-worker. Name and phone number must be given to Happie Soul Massage in advance of GIFT. GIFT recipient may schedule their own massage.

\Clients are responsible for calling in to make these requests. 

\No-shows to scheduled appointments will be forfeited from the package.



RESPECT FOR THE CLIENT-MASSAGE THERAPIST RELATIONSHIP 

You, the client, should be open and honest with your therapist at all times. Feedback about the session, such as: if the sessions are not working or do not meet your expectations, any situations that make you uncomfortable, massage techniques that you may or may not like, any body areas you would like avoided, etc.

To maintain respect for each client and establish professional boundaries the following policies will apply for all massage therapy services: 


\You may choose to leave on as much clothing as needed for comfort. 
\You will always be modestly draped. Only the area being massaged will be undraped. 
\Inappropriate or lewd interaction or discussion of any kind is NEVER appropriate. You will be required to pay in full for your session, asked to leave, and will not be rescheduled if this occurs. 


RIGHT TO REFUSE

Happie Soul Massage reserves the right to refuse to perform a massage for any hygiene issues including failure to shower after exercising, after swimming in pool or excessive sweating. You will be responsible for full payment of your treatment time if you arrive not in the condition to receive massage.

\Happie Soul Massage reserves the right to refuse any potential client for any reason.

 

 PRIVACY 

Your privacy is important. Any information you give to Happie Soul Massage will be held with the utmost care, and will not be used in ways to which you have not consented.

 

 MEDICAL TREATMENT 

It is your responsibility as the client to keep the massage therapist informed of any medical treatment currently being taken, and to provide written permission from the physician, chiropractor, physical therapist, etc., that your program may be continued. You must also keep the massage therapist informed of any changes in health conditions.
